Decision

To relet the maintenance and cloud hosting contract for the Councils cash receipting system to P360, the Council’s current supplier, which has been purchased through a framework agreement.

Reasons for the decision

The maintenance and cloud hosting contract is due for renewal on 31st August 2023. The only supplier who can maintain and host the system is the provider of the current software Pay360.

The contract is expected to cost the council £32k per year and is within existing budget

Alternative options considered

The Council could only move away from the supplier by implementing a new system at a cost of approximately £250,000. Whilst the Council should consider changing supplier in the next three years, such an exercise is expensive; will take around 18 months to procure and implement; and is potentially disruptive. The council does not have the resources or time to make such a change now.
