Decision

To approve the award of the contract to TMC3 Ltd through the G Cloud 14 Framework. The total contract value is £328,141.80 is within the approved Digital Revenue Budget, and will provide 2 year licence fees.

Reasons for the decision

WBC Cabinet Member for Resources: Both councils use the Google platform and Google Workspaces for email, calendar, video conferencing and file storage. Use of the platform underpins all areas of work across the Councils. Until LGR is fully underway we need to maintain the Google Workspace platform.

ADC Cabinet Member for Finance & Resources: Both councils use the Google platform and Google Workspaces for email, calendar, video conferencing and file storage. Use of the platform underpins all areas of work across the Councils. Until LGR is fully underway we need to maintain the Google Workspace platform.

Alternative options considered

WBC Cabinet Member for Resources: I approve of this decision. While a migration to Microsoft seems the best option given LGR, the Google license would still be required for at least a year. So this 2 year renewal is sensible. It is also within budget.

ADC Cabinet Member for Finance & Resources: Microsoft 365 is currently being reviewed as a viable alternative to Google Workspace with particular consideration being given to the collaborative work with other Councils required during LGR. The migration from Google to MS365 is expected to take circa 12 months to complete once funding has been approved. The contract term of 1 year + 1 year extension meets these requirements.
