Purpose

This report seeks approval to enter into a
contract with Imperial Cleaning Services South West Ltd, for the
delivery of cleaning services at The Bottle Yard Studios (TBYS) for
a term of 3 years at a total contract value of
£343,845.00.
The procurement approval also permits the ability to call off an
additional £25,000.00 of services throughout the contract
term should this be required for emergency response and/or
specialist cleaning services.
It has been agreed that The Bottle Yard Studios will outsource this
work given the particular requirements at TBYS.
Bristol City Council procurement services supported The Bottle Yard
Studios to run an open competition via a Full OJEU process
throughout 2024, resulting in a recommendation to award the
contract to Imperial Cleaning Services South West Ltd.
In the event of a potential sale of The Bottle Yard Studios in the
future, this contract would novate in full to a new owner.

Alternative options considered

Option 1 - Do nothing. After careful
consideration, a ‘Do Nothing’ approach has been
discounted as a bespoke solution is required at TBYS.
Option 2 - Outsource cleaning services via a compliant procurement
process. This option was selected as being the best solution for
the business.
