Purpose

To procure and award a contract to a computer
aided facilities management software for the workplace facilities
management and social investment and property team. This product
helps the Council manage the various properties, assets, tools, and
processes that affect RBKC buildings. The software enables
Facilities Management (including hard, soft, and contracted
elements) to plan, execute and monitor all activities involved in
reactive and planned preventative maintenance, space and move
management, asset management, operational facility services, and
other customer service functions. RBKC would like to procure the
licencing for this software for a duration of 3 years with no
option to extend.
 

Decision

The
Executive Director AGREED to:

Approve the procurement
strategy to make a direct call-off contract award from G Cloud14
Framework Lot 1 and 2 for selecting a provider for the provision of
the CAFM Software.
Approve a
direct call-off contract award from G Cloud14 Framework Lot 1 and 2
to MRI Software Ltd, 9 King Street, London, EC2V 8EA, Company
number 03341304 for the provision of the CAFM Software for a total
contract value of £260,700 (excluding VAT) –for a
three-year term, with an option to extend for further 12 months of
the contract, to commence in 1 September 2025 for a total contract
value over four years of £347,600 (excluding VAT) and
£417,120 (including VAT).
Acknowledge that the Commercial Assurance Panel has approved a
waiver from the Contract Regulations.
Acknowledge that the contract would cover the period from 1st
September 2025 following expiration of the earlier contract on 31
August 2025.
