Purpose

A decision to award new
contracts for cleaning and security services  was made by the Executive Director of
Resources  on the 14th of
October 2024 however, the existing contract is due to expire on
31st of October 2024 and a short extension is needed to
that contract to allow for mobilisation of the new contract
arrangements. The Corporate Safety and Workplace team, as part of
the Customer Delivery Directorate, is in the process of awarding
new contracts for the provision of cleaning and security services
for the Council’s operational sites.

Decision

Lead
Member for Property, Parks and Leisure AGREED:
1.     To grant a waiver to the
Council’s Contract Regulations in regard to the one-month
extension and the further one month extension detailed in 3 below,
if required, to Bellrock Property & Facilities Management
Ltd.
2.     To vary the contract for the
provision of cleaning and security services with Bellrock Property
& Facilities Management Ltd (Company number 03075427) beyond
the current contract term for a period of one month, from 1st to
30th November 2024 at a cost of £486,557 (excluding VAT).
3.     To approving a delegation to the
Executive Director of Resources, following consultation with the
Lead Member, to agree and finalise the details of the contract
extension in paragraph 2 above and to agree a further one-month
extension of the contract for the provision of Soft FM Services for
cleaning and security with Bellrock Property & Facilities
Management Ltd should that be necessary to enable safe mobilisation
of the new contracts.
