Purpose
The Council currently has three existing
contracts for Laptops, and Associated Products and Services with:
SCC (UK) Ltd, Computacenter and XMA Ltd. These contracts were
procured through the Crown Commercial Services (CCS) IT hardware
aggregation agreement called, Electronic Auction 21 (EA21).
Each contract commenced 1 December 2021 and ended 30 November 2024
with a further extension permitted for each contract until 30
November 2025 subject to new pricing agreements.
This report seeks the approval to enact the extension for each
contract 1 July 2025 to 30 November 2025, which is provisioned
under the available extension period in the original CMDDR (link in
background information) valid from 1 December 2024 to 30 November
2025. No extension has been enacted since the 30 November
2024.
The EA21 agreement is part of the CCS Technology Products and
Associated Services Commercial Agreement (RM6068) that enables
public sector bodies to streamline their procurement processes and
achieve better value for money.
The Council is reviewing various options for the future procurement
of laptops and associated hardware to ensure best value and
operational efficiency. This work includes assessing different
commercial models and approaches used across the public sector,
with the aim of achieving cost savings, effective asset management,
and flexibility to meet evolving technology needs. The outcomes of
this review will inform the Council’s long-term IT hardware
procurement strategy
Decision
To approve the extension of contract
with SCC UK Limited: from 1 July 2025 to 30 November 2025 at a cost
of £181,858, increasing the total contract value to
£421,858.
To approve the extension of contract
with Computacentre: from 1 July 2025 to 30 November 2025 with zero
increase in current approved contract value of
£1,887,614.
To approve extension of contract
with XMA Limited; from 1 July 2025 to 30 November 2025 at
£226,784, increasing the total contract value to
£735,784
