Purpose

To consider approving the commencement of a procurement exercise for a new internal fleet contract for minibuses and accessible vehicles, ahead of the existing contract expiring.

Decision

1. That the commencement of a procurement exercise for a new contract for hire of internal fleet for minibuses and accessible vehicles, using the specialist framework TPPL, for the process for a new three-year contract and one-year extension option, be approved.
2. That the extension of the current small vehicles (cars and vans) contract for one year using the inherent extension provision in the existing contract ref. 2021-083C to 31 March 2028, be approved.
3. That authority be delegated to the Director of Environment and Property, in consultation with the Cabinet member for Planning and Sustainability and Cabinet  member for Environment, Waste, Highways and Transport, to finalise the arrangements for:

(a)        the number and types of vehicles required for each service with the respective service Director for each contract; and

(b)       for the internal fleet procurement for minibuses and accessible vehicles to:

(i)         consider the tender evaluation report at the end of the procurement process; and

(ii)        approve the award of the contract in consultation with the Council’s S.151 Officer.
