Full council record

Purpose

Approval was sought through the Chief Executive Urgency decision route to enable the renewal?of the existing Salesforce licence agreement. Salesforce is used across the Council for case management and CRM. It is also the Council’s line of business software for planning and additionally its customer account (MyTandridge) software. The contract also includes 18 licences used by Southern Business Control Partnership which is recharged back to them and the total contract worth exceeded the normal route for renewal and was required to be presented at Committee for approval. Due to the timings this was submitted as an Chief Executive Urgency Decision application.
This contract also includes an additional 10 licenses, which have been purchased to support an increase in headcount in 2026/27. There are therefore 211 licences in total being used by the Council. The current licence agreement expired on 31st July 2026. The Contract renewal on 1st August 2026 was for 1 year + 1 year (this means that the contract can be renewed for a further 12 months instead of an annual renewal ending on 31st July 2027, thus avoiding contract expiration, shortly after vesting day.) The renewal was required and approved in June 2026 to ensure service continuity and support the Council’s digital and operational resilience. The value of the contract based on current licencing numbers was £184,957.80 plus VAT per year.
The renewal is required to ensure service continuity and support the Council’s digital and operational resilience.

Decision

Renew the licence for a further year.

Alternative options considered

The system is currently implemented at Tandridge and given the timescales for Local Government Reorganisation, other options are impractical.
