Whitespace incorporates reporting functionality that allows users to export data into Excel. The example shows a snippet of a data downloaded in CSV format:

Data can be manipulated via the reporting function, once downloaded, the data fields can be edited and then re-uploaded into the Whitespace system. Whilst, this can be done manually, when there are large data sets than need amending, this can be
time-consuming.

Whitespace can supply the additional ‘Data Loading Tool’ to CDC, the cost is:

Once purchased, the Data Loading Tool will be enabled in Whitespace and super users will receive training and detailed support documentation.

Without the Data Loading Tool, all data needs to be amended manually. Therefore, if there isn’t sufficient staff capacity available, or the scale of the task is significant, data will sit incorrectly in the system for a period of time. This could have a negative impact on front-line collections and / or customer communications (via the Council’s website or One-Stop Shop).

With the import tool, database administrators will be able to quickly undertake bulk changes to the collection schedules to deal with any scenario, such as periods of disruption to services, or when rolling out a new service. The cost for Whitespace to conduct a data-load is £ , therefore, if CDC wish to complete two data-load exercises in the first year, it would be more cost-effective to purchase the data Import Tool and conduct the necessary changes in-house. In subsequent years, the annual support fee will be less than one Whitespace data load.

Decision

1/ To purchase Whitespace’s ‘Data Loading Tool’.
2/ To enact a variation to the Contract with Bramble Hub for this purpose.
