Call-in Expiry:

Purpose:

The Council currently has a contract with a
third-party reseller, CDW Ltd, which expires in July 2025. The
contract provides: The supply of laptops & adapters for staff
council wide, which meet the Councils specification.

Included within the contract is secure storage
and delivery of laptops, support and Warranty for 3 years, asset
tagging and recycling. This report proposes the procurement of a
new contract for laptops and associated services.

Decision Taken:

I, the Portfolio Lead Member for Stronger Communities,
hereby approve the re-procurement of a
supplier for the provision of Laptops and associated services from
1 August 2025 for a period of two years with an option to extend
for one further year.

And I have instructed the
proper officer to publish this written record of my
decision.

Reason:

As set out in the
report.

Alternative Options Considered:

The proposed route to market is by Further
competition, via CCS Framework RM6098 LOT2.

The Market of resellers for Laptops have the
capabilities to supply the laptops to the specification required,
as the laptops are built to order from standard offerings.

We have specific build and bonded storage
requirements, the laptops we purchase are not necessarily available
via the internet and are often provided specifically for large
organisations such as LBWF.

The proposed procurement route allows the
council to leverage its volume and deliver value for money and
achieve a social value commitment from the winning supplier.

It will also save time and resources as
suppliers have already been vetted, competition documents are
available to be used and include pre-negotiated terms and
contracts.

Do nothing:
There are no advantages to this approach, as
doing nothing would leave the Council at risk of reduced staff
productivity and would severely impact resource capability. It is
not recommended.
