Nominations are to be made by the Group Whip to the Chief Executive, who will then review them and make recommendations to an Extraordinary Full Council meeting. The policy also details a declaration process for nominees, requiring them to disclose any information that might bring the council into disrepute or embarrassment, as well as any criminal convictions or upheld formal complaints. The council reserves the right to revoke an award if a criminal conviction is confirmed or if information emerges that brings the council into disrepute or embarrassment.

Review of the Constitution – Local Protocol for the Mayor and the Civic Role

The committee is also scheduled to review the Local Protocol for the Mayor and the Civic Role. This policy, intended for inclusion in the council's constitution, defines the Mayor's responsibilities at civic and ceremonial events, as well as during Full Council meetings. The protocol clarifies the types of events the Mayor is expected to attend, including those organised by the council, local organisations, charities, and businesses within the borough and London. It also covers the process for receiving guests and hosting events to support local organisations. The role of the Mayor in chairing council meetings is also detailed, focusing on efficient business conduct and upholding the constitution. The protocol outlines how other senior councillors, including the Deputy Mayor, Leader, Deputy Leader, and Cabinet Members, may represent the Mayor at events if the Mayor is unavailable. It also addresses the use of civic insignia, communication regarding attendance, and the budget allocated for mayoral and civic events.
